Completing Timesheets

To complete a timesheet open it from the My Timesheets quick links on your Fluid Homepage (for last week, this week or next week)...


 

... Or you can select the timesheet from your timesheets page.

Instructions on what you want to do with your timesheet:

Save - Save your current timesheet entries so you can finish working on it later.

Submit - Submitting your timesheet sends it for approval. The approver will see your timesheet come through on their action dashboard where they can either approve it or return it for amendment.

This is also where you will find the Recall button should you want to make changes to a timesheet you have already submitted.

Scroll backwards and forwards through your timesheets by clicking on the arrow icon either side of the date range.

The projects you are assigned to for that timesheet period will automatically be shown. If a project is 'missing' from your timesheet check with the project owner that you have been properly allocated for that period.

Select a sub-activity to book your time against and enter your time allocation. The lightening icon allows you to autofill hours for all days in the week. If you need to book time to more than one sub activity, click on the Plus icon to add an additional line. Entries - except for automatically added projects - can be removed by selected the Remove icon at the end of a row.

There are a couple of things to note:

  • The maximum number of hours that you can book in a day is configured by your administrator.

  • The type of sub-activities available for you to book time against depends on the Project Type defined by the Project Owner under the projects settings. Sub-activities for each project type are also configured by your administrator.

Month end

If your timesheet straddles a month end and you are only allocated to the project for one of the months you will not be able to capture time in the month where you have no allocation.

To book time to a miscellaneous activity select Non Project Lines and select an activity from the drop down. The miscellaneous activities available are also configured by your administrator.

Selecting the Notepad icon allows you to add notes to your timesheet entries. This is useful if you want to share some important info with the approver!

By default only the 5 business days for the week are shown. You can expand the view to include Saturday and Sunday by selecting Show Weekend.

Your administrator will set a submission deadline for all timesheets. If you miss the deadline, a reminder email will be sent to you. At the same time, line managers will also receive an email listing any of their resources who have not submitted timesheets.

You can see who your timesheet approver (manager) is in Fluid by selecting 'View My Profile' from your profile menu in the top navigation bar. To change your Manager in Fluid you will need to contact your system administrator.
